JOB TITLE: DESIGN ASSISTANT

JOB DESCRIPTION

Charlotte Barnes Interior Design, a high-end interior design firm, is seeking a self-motivated and detail oriented Design Assistant to work full-time in our Greenwich office.

This is a hybrid role with responsibilities ranging from assisting our Designers/Project Managers throughout all stages of the design process to completing various office administrative tasks including but not limited to:

• Organizing and maintaining sample library
• Maintaining accurate records of items in inventory
• Upkeep of firm's virtual library
• Management of incoming and outgoing office mail and packages
• General office upkeep including purchasing supplies and keeping office tidy and organized
• Running errands between office, workrooms, vendors and job sites
• Sourcing (checking stock, pricing and lead times) and communicating with vendors
• Placing and tracking orders through to installation
• Coordinating transport and deliveries with freight forwarders, receivers and couriers
• Maintaining accurate project storage inventories; communicating with receivers across Europe, UK, and the US
• Communicating with workrooms and assisting with work orders
• Preparing schedules (paint, lighting, hardware etc.) for subcontractors
• Creating proposals and assisting with client invoicing
• Maintaining project bins and filing vendor and client paperwork
• Preparing materials for client presentations
• Assisting Designers on site visits and project installations

JOB REQUIREMENTS

• Applicants should be highly organized with the ability to work on multiple tasks simultaneously and manage time effectively
• Excellent oral and written communication skills, with superior follow-through
• Strong problem solving skills and a positive, "can-do" attitude
• Able to travel when needed, has a valid Driver’s License
• Knowledge of the interior design industry / familiarity with vendors
• Proficiency in Google Suite, Microsoft Office, and Adobe Creative Suite; AutoCAD and Design Manager, a plus.

Interior Design Associate Internship - Description of Duties

  • 1) Assist Director on project tasks including, but not limited to: sourcing, vendor options, materials, drawings, budgets and project timelines.

    2) Attend client and vendor meetings as needed; take notes, measurements and photos for meeting minutes.

    3) Maintain project bins and project materials along with PM, Junior PM and Director.

    4) Work with PM and Director to assemble materials and documents for client presentations. Tasks include but are not limited to:

    Organize project images (sourcing, scanning, saving and printing client inspiration images and product reference images).

    Prepare PPA product tear sheets (including dimensions, photos, net pricing and lead time), samples and other materials needed for presentation boards, as requested.

    Create project presentation standard templates (i.e. drawings and “scheme sheets”)

    5) Assist with installations and photo shoots as needed.

  • 1) Support Project Manager or Director on vendor correspondence as needed.

    2) Work with vendors on sourcing (checking stock, availability and lead times), quoting, specifying and pricing.

    3) Assist in ensuring accurate incoming and outgoing information to and from the vendors, including, but not limited to, project deadlines, specifications and estimates.

  • 1) Manage material samples and CFAs together with PM and Junior PM.

    2) Manage Interior Design Department document filing and binder upkeep.

    3) Update and maintain book, magazine and catalog library so that it is always tidy and organized.

    4) Gauge ID team interest in vendor meetings, then schedule and calendar (limit these meetings to once or twice weekly; do not schedule vendor meetings unless able to attend). Greet vendors when they arrive and situate them prior to meeting start.

    5) Software proficiency in Design Manager, AutoCAD, Microsoft Office, Revit, Adobe Creative Suite and SketchUp preferred. 

    6) Run vendor related errands and provide general assistance to teams.

    7) Manage and maintain architecture and interiors libraries, including labeling and filing samples, tracking samples internally and externally, addressing sample requests and returns and related transmittals.
